The company
Lost & Found is a creative agency in Tbilisi. Eighteen people work in a hybrid setup: 14 from the office, 4 remotely. Every month the agency serves 22 retainer clients — social media management, digital advertising and full content production: photo, video and graphic design. Alongside that, it runs one-off, complex projects: branding and advertising video production.
Twenty-two retainer clients mean dozens of parallel tasks: weekly publications, shoots, approvals, invoices. Each one is somebody’s time — and somebody’s money.
Before: six tools and one unanswered question
Before the agency moved to PLYNTUM, its work was spread across several platforms: tasks in Asana, visual communication and brainstorming in Miro, internal communication in Discord and Slack, documentation and records in Excel and Notion.
Each tool did its job. The problem sat between them.
“When data is scattered across five or six platforms, important details and tasks inevitably get lost in the daily routine,” says Nikoloz Norieli, CEO of Lost & Found. Constant switching between systems wore the team down. People often forgot to log working hours and attendance — and an unlogged hour means nobody can say what a given project actually cost the company.
One question kept coming back unanswered: how do you bring operations into one simple, flexible space so that efficiency goes up while the cost of subscribing to dozens of tools comes sharply down? That question led to building PLYNTUM.
The switch: 10 days
The agency has been running fully on PLYNTUM for three months. The biggest surprise was the speed of adoption: moving the whole team to the new environment took 10 days. Tasks, client records, time and attendance, expenses and invoices now live in one place and are linked: every task belongs to a client and a project, every logged hour belongs to a task.
What changed
- About 20% less time spent on operations and administrative processes — by last quarter’s records.
- Unbilled hours and missed deadlines are down to a minimum. Task, hour and invoice are linked, so unbilled work no longer disappears.
- Attendance and hours are logged in one place (check-in / check-out), so the picture of spent resources is complete.
- No more switching between tools. The team works in one environment, which raised both comfort and transparency.
What proved most useful
Most valuable — the way the modules connect, and automatic profit-and-loss analytics. The system adds up the resources spent by itself and shows exactly what the real margin and profitability of a given project or client is.
Unexpectedly valuable — the AI Board. The advisors built into the system analyse the processes and give concrete, practical recommendations: where a bottleneck is forming and what action is needed to fix it in time.

What has not worked yet
The biggest challenge is human habit. In an agency, tasks are often handed out verbally or in chat — that stays outside the system and distorts the analytical picture. PLYNTUM delivers the most when every process is reflected in the application.
So the team is now working on widening the role of AI and testing several approaches — for example, creating a task automatically from a voice note or a quick note — so that writing up a task becomes natural and frictionless. These capabilities (Task Composer, the expanded AI Board) are still in development, and buying a plan does not activate them.
