Team capacity

Team capacity is how much more work people can take on, given their current assignments, attendance and recorded effort. Checking it before accepting a request prevents a deadline from slipping because the same person was assigned again. Working hours and leave set the total; assignments and recorded effort show how much of it is already taken.

The formula

  • Capacity = contracted hours − leave and holidays − fixed internal time.
  • Available hours = capacity − hours already assigned.
  • Utilization = billable hours ÷ paid hours. The utilization rate calculator works this out for a person or a team.

A worked example

An example. Five people work 40 hours a week: 200 hours. One is on leave for two days (−16), and weekly meetings and admin take 4 hours each (−20). Capacity is 164 hours. Current assignments add up to 150 hours, so 14 hours are free. A new 20-hour request does not fit this week without moving something.
